1. Scope and definitions

  • Personal data: information in the form of symbols, text, numbers, images or sound that relates to an identified or identifiable individual.
  • Processing: any operation on personal data, including collection, recording, storage, use, disclosure, transfer and deletion.
  • Data subject: the individual to whom the personal data relates.
  • Account: the user account you create to book classes and manage packages.

2. Personal data we collect

  • Identity and contact data: full name, email address, phone number and country/area code, and profile photo where you provide one.
  • Account and sign-in data: encrypted password, and identifiers returned by Google, Facebook, Zalo or Apple if you choose to sign in with them.
  • Booking and membership data: classes and rooms booked, attendance and check-in history, purchased packages, validity dates, remaining sessions, coupon use and notes you give us.
  • Payment data: order code, amount, payment method, status and receipts. Card numbers are entered directly with our payment processors; Alira does not store your full card number or CVC.
  • Usage and device data: IP address, browser type, device identifiers, pages visited, language preference and approximate location, collected automatically through cookies and analytics tools.
  • Communications: messages you send us by email, Zalo, phone or in person, and notifications we send you about your bookings.

We do not intentionally collect sensitive personal data (such as health, biometric or financial account data). If you volunteer information such as an injury or health condition so that an instructor can adapt a class, you consent to us using it solely for that purpose.

3. Purposes and legal basis of processing

We process personal data only with your consent or where otherwise permitted by law, for these purposes:

  • Creating and verifying your account, and authenticating you when you sign in.
  • Processing bookings, class packages, room rentals and open-practice sessions, and tracking attendance and package balances.
  • Taking payments, issuing receipts, preventing fraud and meeting accounting and tax obligations.
  • Sending service notifications (confirmations, reminders, schedule changes, payment and expiry notices).
  • Responding to enquiries, complaints and support requests.
  • Improving the website, class schedule and customer experience through aggregated analytics.
  • Complying with legal obligations and requests from competent state authorities.

We will send marketing messages only where you have agreed to receive them, and you may opt out at any time. We will request your consent again before using your data for a purpose not described in this policy.

4. Cookies and similar technologies

We use cookies and similar technologies in the following categories:

  • Strictly necessary: keep you signed in and secure the Service. The Service cannot function without them.
  • Functionality: remember preferences such as your language (English or Tiếng Việt).
  • Analytics: Google Analytics helps us understand how the website is used so we can improve it.

You can block or delete cookies in your browser settings. Disabling necessary cookies may prevent you from signing in or booking.

5. Disclosure to third parties

We do not sell your personal data. We share it only with the parties below, and only to the extent needed to operate the Service:

  • Payment processors: Stripe (card and Google Pay), PayPal, PayOS and our bank (MB Bank) for bank transfers, to process and reconcile payments.
  • Sign-in providers: Google, Facebook, Zalo and Apple, if you choose to use them to sign in.
  • Infrastructure and communications providers: cloud hosting and database services, Amazon Web Services (file storage), our email delivery provider and Novu (notifications).
  • Analytics: Google Analytics, in aggregated or pseudonymised form.
  • Our instructors and staff: only the information necessary to run your class.
  • Competent authorities: where required by law or a valid request from a state authority.

Some providers are located outside Vietnam. Where personal data is transferred abroad, we do so in accordance with Vietnamese law on cross-border data transfers and require appropriate safeguards from the recipient.

6. Storage, security and retention

We apply technical and organisational measures to protect personal data against unauthorised access, loss or alteration, including encrypted connections (SSL/TLS), hashed passwords, role-based access control and restricted staff access. No method of transmission or storage is completely secure; if a data breach occurs, we will notify the competent authority and affected individuals as required by law.

We keep personal data only as long as necessary for the purposes above, then delete or anonymise it:

  • Account and membership data: for the duration of your relationship with us plus up to 24 months.
  • Support records: up to 24 months from closure of the request.
  • Analytics data: up to 24 months from collection.
  • Transaction and accounting records: for the period required by Vietnamese accounting and tax law.

7. Your rights

Under Vietnamese law you have the right to:

  • Be informed about how your personal data is processed.
  • Consent to, or refuse consent to, processing, and withdraw your consent at any time.
  • Access, view, correct or request correction of your personal data.
  • Request deletion or restriction of processing, or object to processing, where permitted by law.
  • Request a copy of your personal data.
  • Complain, report or bring a claim where you believe your rights have been infringed.

To exercise these rights, contact us using the details in the Contact section below. We will verify your identity and respond within the period required by law. Withdrawing consent or requesting deletion may mean we can no longer provide some parts of the Service, and does not affect processing carried out before withdrawal or data we must retain by law.

8. Children's privacy

The Service is intended for users aged 16 and over. For anyone under 16, a parent or legal guardian must register, book and consent on their behalf. We do not knowingly collect personal data from children without that consent and will delete it when we become aware of it.

9. Payment, cancellation and refund terms

These terms form part of this policy and apply to purchases of class packages through the Service.

  • Prices and currency: prices are shown in Vietnamese dong (VND) on the pricing page and are confirmed again at checkout before you pay.
  • Payment methods: credit/debit card and Google Pay (via Stripe), PayPal, cash at the studio, and bank transfer.
  • Processing fee: a 3% processing fee applies to card and Google Pay payments made through Stripe. It does not apply to PayPal, cash or bank transfer.
  • Validity: each package is valid for the period stated on its card (for example 3, 5 or 10 weeks) from the first class.
  • Expiry, no refund: remaining classes and bonus self-practice sessions expire when the package expires and cannot be carried over, extended or refunded.
  • Rescheduling: fixed packages may be moved to the following week within validity; flexible packages may be rescheduled a limited number of times as stated per package, after which the class is counted as used.
  • Personal use: a package may be used by one student only and may not be shared with another person.
  • Trial week: available once, to first-time students only.
  • Our errors: if you were charged incorrectly or twice, or we are unable to deliver a purchased class, we will correct the charge, reschedule the class or refund the affected amount through the original payment method.

Nothing in these terms limits any mandatory right you have under the Law on Consumer Protection.

10. Complaints and dispute resolution

If you have a complaint about the Service, please contact us first. We will acknowledge it promptly and work with you to resolve it through good-faith negotiation and conciliation. If the matter cannot be resolved this way, either party may refer it to the competent consumer protection authority or the competent People’s Court in Vietnam. This policy is governed by the laws of the Socialist Republic of Vietnam.

11. Changes to this policy

We may update this policy from time to time. The “Last updated” date above shows the latest revision. For material changes we will give notice on the website or by email, and your continued use of the Service after the effective date means you accept the updated policy.
